NEX CORE MECHANICS (hereinafter referred to as “we” or “our organization”) considers the proper handling and protection of personal information an important responsibility and establishes the following policy.

   Scope

   This policy applies to our website, inquiry channels, and the apps and services we provide. The information handled by each service and the purposes for which it is used follow the common principles below. Where these differ depending on a feature or plan, we explain the differences in the relevant app.

   Information collected and stored

   We handle names, email addresses, account identifiers, display names, time zones, inquiry content, reply addresses, attached images, purchase and contract status, and usage, communications, and device information necessary for operations and incident response. Apps that provide the relevant features may store titles, descriptions, scripts, and notes entered by users; settings such as purpose, language, duration, and audience; audio recordings; transcripts; evaluation results produced by AI or other means; pronunciation evaluations; and usage history. Recordings may contain the voices and statements of users or third parties.

   Purposes of use

   We use the information collected for identity verification and account management; responding to inquiries; providing, improving, and developing services; storing and playing audio; transcription; AI and pronunciation evaluation; synchronizing history and comparing progress; managing usage limits, paid features, and advertising; preventing misuse; analyzing incidents; ensuring security; and maintaining quality.

   App data storage and external processing

   Our apps use Amazon Web Services for authentication, databases, private storage, email delivery, monitoring, logs, and related functions. Features that transcribe audio or evaluate pronunciation send the relevant audio recordings to Microsoft Azure AI Speech. Features that perform AI evaluations send transcripts, text such as titles and descriptions entered by users, the purpose, format, language, and target duration of presentations, and audience settings (which may include registered names, roles, knowledge, interests, evaluation criteria, and free-text fields) to the OpenAI API for evaluations, improvement suggestions, and progress comparisons, rather than sending the audio recordings themselves. Information sent to each processor is limited to the scope necessary to provide the relevant feature.

   Purchases and advertising

   Apps that offer subscriptions use RevenueCat and may handle account identifiers, products, purchase history, subscription status, and related information. Payment information is managed by Apple or Google, and we do not obtain complete card information. Apps that display advertising use Google AdMob, and Google and its advertising partners may process IP addresses, advertising identifiers, device and app information, ad impressions and interactions, and related information.

   Processing outside Japan

   Cloud, AI, purchase management, advertising, and other service providers we use, or their subcontractors, may process information outside Japan. In accordance with applicable laws, we verify the contractual and technical safeguards of our service providers and carry out necessary supervision and related measures.

7. 07

   Retention periods

   Audio recordings are deleted after the retention period indicated in the relevant app feature or plan expires. Even after audio is deleted, transcripts, evaluation results, entered text, settings, notes, and usage history may be retained while the account exists or for as long as necessary for the purposes of use. Inquiries, transaction and purchase records, security logs, and backups may remain for as long as necessary for handling matters, legal compliance, fraud prevention, or recovery, and are deleted or anonymized after that period.

   Security measures and data separation

   We take reasonable security measures, including encrypted communications, private storage, access controls appropriate to users and their scope of use, separation of privileges, server-side management of confidential information, and monitoring. Features that separate the scope of use for individuals, organizations, or other users distinguish their data and access permissions. However, we do not guarantee complete security for transmission or storage over the internet.

   Third-party disclosure and outsourced processing

   We do not disclose personal data to third parties except where processing is outsourced as necessary to fulfill the purposes of use, where provided for by law, where necessary to protect life, physical safety, or property, or with the consent of the person concerned. We do not sell personal information. We allow service providers to handle information only within the necessary scope and supervise them appropriately.

    Deletion, disclosure, correction, and other requests

    Apps that provide the relevant features allow users to delete stored data or their accounts from within the app. The data subject to deletion may differ depending on individual, organizational, or other forms of use, so please check the scope shown on the deletion screen. Store subscriptions must be canceled separately from account deletion. Even after deletion, some information may not be erased immediately for legal compliance, handling transactions and inquiries, security, or backups. We respond to requests for disclosure, correction, suspension of use, erasure, and similar actions in accordance with the law after verifying the identity of the person concerned.

    Access information and related data

    This website may collect cookies, IP addresses, browser types, access dates and times, and related information to maintain stable operations, ensure security, and understand usage. Device or browser settings may allow cookies to be restricted, but this may affect some features.

    Changes to this policy

    We may revise this policy in response to changes in laws, external services we use, our service offerings, or other circumstances. If there are significant changes, we will notify users on this website, within our apps, or by other reasonable means.
